For guests
I uploaded a photo I don't like. How do I delete it?
You can't remove it yourself — uploading is deliberately one-way, so guests can never delete each other's photos (or the couple's). Ask the event organizer and they can remove it in a few seconds.
Helpful things to tell them: your name as you entered it, roughly when you uploaded, and what the photo is of.
Once they delete it from the album, it also disappears from the live slideshow within about 20 seconds.
Do I need an app or an account?
No. Scan the QR code, type your first name, and upload. Nothing to install, no sign-up, no password. It works on any phone with a browser.
Where do my photos actually go?
Straight from your phone into the event organizer's own Google Photos album or OneDrive folder — whichever they chose — at full quality. They don't pass through PicMeUp's servers and we never keep a copy.
Two things happen next: they appear in the event's live slideshow, and they stay permanently in the organizer's album.
Can I see everyone else's photos?
Not automatically — the album is private to the organizer. Tap "See the photo album" on the event page and enter your email. The organizer gets a notification and, if they approve, you'll be emailed a link to the album.
Can I upload videos too?
Yes — photos and videos both. Long videos take a while on venue Wi-Fi, so give it a moment before closing the page.
My upload failed or stalled. What now?
Almost always the venue's Wi-Fi. Try these in order:
- Switch to cellular data (or vice versa) and tap Upload again — anything that failed will retry.
- Upload a few files at a time rather than fifty at once.
- Keep the page open until each file shows a ✓.
I scanned the code and it says “almost ready”
Nothing's broken — the hosts just haven't finished connecting the photo album yet, so there's nowhere for your photos to land. QR codes often get printed a while before the day. Scan the same code again later and the upload page will be waiting.
There's no place to leave a message — where did it go?
The guestbook is a setting, and these hosts have it switched off. Photos are still very welcome; there's just no message tab on this event.
Can I take back a guestbook message I left?
Not from your phone — but the hosts can remove it for you in a couple of clicks. Ask them, mention roughly what it said, and it'll come off the guestbook and any screen showing it within about 20 seconds.
Why does it ask for my name?
So the couple knows who to thank, and so your guestbook message is signed. It's stored with your upload record — nothing else, and it's never shown to other guests.
How do I request a song?
If the hosts turned it on, the event page has a 🎵 Request a song tab. Start typing a song title or an artist's name and a list drops down. Tap each song you want — add as many as you like — then press Send to the DJ once at the end.
Tip: type the song and the artist together, like "at last etta james". Dozens of people have recorded most songs and the search can't tell which is famous, so the artist's name is what pins down the version you mean. Still not there? Press Can't find it? Add what I typed.
If someone already asked for the same song, your request counts as a vote for it instead — the DJ can see which songs the room keeps asking for.
The DJ decides what actually gets played. No promises.
For organizers
How do I delete a photo a guest uploaded?
It's your album, so you delete the photo where it lives — in Google Photos or OneDrive:
- Open it — use the Open the album (or Open the folder) link on your event in the dashboard.
- Tap and hold (or hover and click the checkmark) to select the photo.
- Choose Delete — on phone it's the trash icon; on desktop it's in the ⋮ menu. In OneDrive, select the file and press Delete.
The slideshow notices within about 20 seconds and drops it from the rotation automatically — no need to restart anything.
Deleting from the album or folder removes it from the event. Both services keep deleted files in a trash or recycle bin for a while before they go for good.
How do song requests work, and what does my DJ need?
Turn on Let guests request songs for the DJ in your event's Settings. That adds a 🎵 Request a song tab to the guest page, and a 🎧 DJ request screen link to your event in the dashboard.
Send your DJ that link plus the display PIN — the same PIN as the slideshow. On their phone or laptop they'll see:
- Waiting — new requests, newest last, with a vote count when several guests ask for the same track.
- Play order — the ones they approved, numbered in the order they approved them.
- Played & skipped — the history, with Undo if they tapped the wrong button.
Each track has a Spotify button that opens it in Spotify search, so the DJ can add it to whatever they're actually playing from. PicMeUp doesn't connect to the DJ's Spotify account or change their queue.
The request screen refreshes every 20 seconds. Regenerating the PIN or the slideshow link logs the DJ's screen out too, so re-send them if you do that mid-event.
How do I remove a guestbook message I don't want shown?
You can delete it yourself, in seconds:
- In the dashboard, click 📖 Read / email guestbook on your event.
- Find the message and click the ✕ in its top-right corner.
- Confirm. That's it.
It disappears from the guestbook screen and from the slideshow (if you have messages turned on there) within about 20 seconds — no need to restart anything on your display.
Deleting is permanent and isn't undoable, so if you want a record of everything, email yourself the guestbook first. Only you, your co-organizers, and site admins can remove messages — guests can't.
How do I get a copy of all the guestbook messages?
Click 📖 Read / email guestbook on your event, tick who should get it, and press Send the messages. Everyone you tick receives the full guestbook — names, messages, and timestamps — in one email.
You can send it to:
- The event owner — ticked by default.
- Any co-organizer on the event.
- Yourself, if you're managing the event for someone else.
- Or all of them at once — there's a Select everyone button.
Send it as often as you like; each email is a fresh snapshot of everything collected so far. Do this before deleting an event — the messages are deleted with it, while your photos are never touched.
For everyone's privacy, the guestbook can only be emailed to people already attached to the event — you can't type in an arbitrary address.
Can I sign in with both Google and Microsoft?
Yes. Open 👤 My account (top right of the dashboard, or the button on the help card) and add whichever one you're missing. After that either button signs you into the same account — same events, same settings.
The two addresses don't have to match: you can sign in with a Microsoft account and still keep photos in Google Photos, or the other way round.
Do add it there rather than signing up again with the other button. That would create a separate account, and it wouldn't be able to see the events the first one owns.
The photos are going to the wrong account — can I change it?
Only while the album is still empty. On the event, find the album row — it names the account your photos are going to — and click Change. That disconnects it and you can pick again from the checklist.
We check the album when you click, so the button either works or tells you it's locked — it won't ask you to confirm something it's about to refuse.
Once guests have started uploading, the account is locked. Neither Google nor Microsoft lets us move photos from one person's library to another, so switching would strand everything already uploaded. Videos count too.
If the photos are landing somewhere other than the event owner's own account, the event card says so in an amber banner. That's allowed — some people keep photos in a different account than the one they sign in with — but it should always be on purpose.
Can I connect an album or folder I already made?
No, on both. With Google, it isn't our choice: since March 2025 their API only lets an app see albums the app itself created. With OneDrive we ask for access to a single folder of our own rather than your whole drive, which is better for your privacy but means we can't see anything outside it either.
Either way PicMeUp creates the album or folder for you as part of setup, and you can move existing photos into it yourself afterward.
Why does Google warn that the app isn't verified?
PicMeUp is in Google's verification queue. Until it clears, connecting an account shows a caution screen — choose Advanced → continue.
What it can actually do is narrow by design: add photos to the album it created, and read back only those photos so the slideshow works. It cannot see the rest of your library, and guests' upload sessions can't view or delete anything at all. You can revoke access anytime at myaccount.google.com/permissions.
How much storage do I need?
Uploads count against whichever account owns the album or folder. Google gives 15 GB free, shared with Gmail and Drive. OneDrive gives 5 GB free, or 1 TB with Microsoft 365 — worth checking before a big event.
Rough guide: a phone photo is 2–5 MB, so a few hundred photos fit comfortably. Video is the thing that fills it up — a minute of 4K can be 300 MB. If you expect lots of video, Google One's 100 GB plan is about $2/month, and Microsoft 365 includes 1 TB. Either can be cancelled after the event.
What do the two screen links do?
- Photo slideshow screen — the big display at your venue. New photos fade in about 20 seconds after they're taken. Press F for fullscreen, ←/→ to step through, space to pause.
- Guestbook screen — shows the written messages, nice on a second display or a tablet near the guestbook table.
Both need the event's display PIN, and both should be kept private — they're for your screens, not for guests.
Someone got hold of a slideshow link. What do I do?
In the dashboard, use Reset slideshow link and/or Reset PIN (both under the ⋯ button). The old link and PIN stop working immediately, including on screens that are already open — you'll just re-enter the new PIN on your own display.
What happens to my photos when the event ends?
Nothing happens to them. The album or folder is in your own Google or Microsoft account and stays there forever, whatever happens to PicMeUp. The event page and slideshow keep working until you delete the event.
Before you delete an event, use Read / email guestbook to send yourself a copy of the messages — those are deleted with the event.
Does deleting an event delete my photos?
No. Deleting an event removes the event page, its links, and its guestbook messages. Your album or folder, and every photo in it, are left completely untouched.
Who can use PicMeUp?
Organizer accounts are invite only — PicMeUp is for private events, not open to the public. If you've been invited, signing in creates your account and an admin approves it, usually within 24 hours. If you haven't, ask for an invite.
Your guests need nothing. No invite, no account, no app — they scan the QR code, type their name, and upload. The invitation is only for whoever sets the event up.
Every invited event gets everything: slideshow, guestbook, song requests, QR codes, co-organizers and unlimited guests. Nothing is held back.
Can someone help me run the event?
Yes — add their email under Co-organizers in event settings. They'll see the event in their own dashboard and can manage everything without borrowing your login.
